Plotting the Course for Your Business

Staying on top of the major functional areas is difficult for any size business, but it can be especially challenging for the incorporated career speaker.  One way to keep each segment of the business moving forward is to establish a rotation of meetings within four categories:  marketing and product development, sales, client services, and internal management and finance.  This works out to one meeting per week each month.

The Friday prior to each meeting, the progress report/to-do list within each category is brought up to date.  These reports are best utilized if broken into subcategories.  Internal management may be broken down into staffing, maintenance, equipment, insurance, etc.  Marketing, which by far has the greatest number of subcategories, benefits most from this format.  Also, by breaking the marketing down into subcategories, the work can be delegated and prioritized by deadlines.  The reporting process, therefore, holds the manager/owner accountable to the business plan and also to the budget.  For clients, the flow of work established by the report process will make them feel like they are your only client.

The report is reviewed prior to the meeting and serves as the agenda.  One by one, each subcategory is discussed in detail.  Decisions are noted right on the report.  These decisions are then summarized in writing after the meeting.  This may seem redundant, but it’s the best way to make sure all decisions are agreed upon and that no decisions are vague or have been omitted.
